The Problem

Deals rarely die from a no. They die from silence: a proposal sent, a warm reply, then three busy weeks and the thread is cold. Follow-up depends on memory, and memory is the least reliable system in any business.

The Solution

A tracker that watches every open conversation and knows when each one should come back. When a thread goes quiet past its window, it returns to you with a follow-up already drafted in your voice. You review, adjust, send, and the pipeline stops leaking.

How It Works

  1. Every open conversation enters the tracker: proposals, warm leads, waiting replies, promised intros.
  2. Each one gets a follow-up window based on its type, a proposal moves faster than a casual intro.
  3. When a thread crosses its window, Claude drafts the nudge, matched to the history and written in your voice.
  4. Drafts arrive in your morning digest, and you send in one click or adjust first.
  5. Responses update the tracker, so nothing gets chased twice and nothing gets forgotten once.

Built With

  • A follow-up tracker in Notion with per-type timing windows
  • Claude drafting from your Personality Definition and thread history
  • Delivery through the Morning Brief
  • CRM sync for pipeline visibility as the client base grows
It receives quiet threads from the Inbox Management and returns drafts through the Morning Brief, closing the loop inside the Sales & Lead Engine.

What You Get

  • A pipeline where silence triggers action instead of ending the deal
  • Follow-up drafts that match the history, ready to send
  • A clean record of every open thread and its next move
  • Revenue recovered from conversations that would have simply faded

The Numbers

1–2

Days to build

2–3

Hours back every week

~2

Weeks to pay for itself
One to two days to build on top of an existing inbox setup. It returns two to three hours a week of tracking and drafting, and the first recovered deal usually repays the build many times over.
