The Problem

Most executives spend the first hour of the day inside email, and by the time they surface, the deep work slot is gone. Out of eighty messages, maybe six need your brain. The rest need sorting, a short reply or a polite no, and right now the most expensive person in the company is doing that sorting.

The Solution

An AI layer between you and the inbox. Overnight it reads everything that came in, sorts it, drafts the routine replies in your voice and tracks every thread that went quiet. You open email to a short brief and the six messages that need you, drafts already waiting underneath.

How It Works

  1. Claude connects to your mailbox and reads new messages on a schedule.
  2. Every message gets a label: needs you, routine reply, delegate or archive.
  3. Routine messages get a draft reply, written from your Personality Definition so it sounds like you on a good day.
  4. Threads with no answer after a set number of days resurface as follow-up reminders.
  5. A morning digest delivers the handful that matter, and nothing sends without your click.

Built With

  • Claude connected to your mailbox through plain-language rules we write together
  • Personality Definition, the voice profile every draft reads first
  • A follow-up tracker in Notion
  • A scheduled morning digest
It reads from Client Profiles and feeds the Follow-Up Engine and Task Triage, the four systems that form the communication core of the Sales & Lead Engine.

What You Get

  • An inbox that opens as a six-message brief instead of a wall of unread
  • Drafts in your voice for every routine message, ready to edit and send
  • A follow-up list that nothing falls off of
  • Every rule documented in plain language, so the system is yours to keep and adjust

The Numbers

1–2

Days of setup

5–8

Hours back every week

~2

Weeks to pay for itself
Setup takes one to two days, then a week of tuning while it learns your senders. For anyone on eighty or more messages a day, it returns five to eight hours a week, and the recovered follow-ups are usually worth more than the hours.
